Privacy Policy

Last updated: 30 September 2026

BackChat Group is operated by BACKCHAT PTY LTD (ABN 53 658 108 831) (BackChat, we, us or our), and we respect your privacy. This Privacy Policy explains how we handle personal information when you visit backchatgroup.com.au, contact us through this website or otherwise deal with us in connection with a website enquiry. A BackChat division may publish a separate policy for its own services or website.

1. What we collect

When you submit the contact form, we collect the information you provide: your name, email address, enquiry reason and message. The form stores a copy of the enquiry in the website database and emails it to our team, with your email address set as the reply address, so that we can respond. If you contact us another way, we may also collect the details contained in that communication.

Our hosting, security and email providers may automatically process technical information needed to deliver and protect the site, such as an IP address, browser and device information, requested pages, referring page, date and time, and security events. We do not add a visitor’s raw IP address to the enquiry record stored by the contact form. To limit spam and repeat submissions, the form briefly keeps one-way coded values derived from your email address and IP address; these cannot be read back as the original details and expire automatically after about 15 minutes.

The site uses Wordfence security software to protect logins and block malicious requests. It records details such as IP addresses, request information and login attempts for security events, and may share limited security data such as IP addresses with its provider, Defiant, to detect and block attacks.

2. Why we use personal information

  • to receive, assess and respond to enquiries;
  • to discuss potential partnerships, talent, production, studio or other business opportunities;
  • to operate, secure, maintain and improve the website and our communications;
  • to prevent spam, fraud, misuse and security incidents;
  • to keep appropriate business records and manage disputes; and
  • to comply with applicable laws and lawful requests.

We do not use contact-form details for unrelated direct marketing unless you have consented or the use is otherwise permitted by law.

3. How we collect information

We usually collect personal information directly from you. We may also receive relevant information from a person or organisation you represent, from a BackChat division, or automatically through the technical operation and security of the website.

4. Cookies and analytics

Google Analytics 4 (GA4) is active on the public website. GA4 uses first-party cookies, including _ga and _ga_<container-id>, to distinguish visitors and maintain session state. Under Google’s default settings, these cookies may remain for up to two years, although browsers may shorten that period. The website and its infrastructure may also use essential cookies or similar technologies for security and logged-in administration. The contact form itself does not set a cookie.

GA4 may collect or derive pseudonymous and technical information such as a client or session identifier, pages viewed and other site interactions, referral or traffic source, approximate location, and browser, device, operating-system and language information. Google states that GA4 uses raw IP addresses at collection for functions such as data-centre routing, coarse location and spam detection, does not associate them with user identifiers, and discards them after use. We do not intentionally send the name, email address, enquiry category or message entered in the contact form to GA4.

We use GA4 information to measure audience size and sessions, understand how visitors find and use the site, identify popular content and device or browser patterns, and improve the site’s content and performance. GA4 is not required to submit an enquiry. You can restrict or delete cookies in your browser settings or use the Google Analytics Opt-out Browser Add-on (opens in a new tab) to limit Google Analytics measurement. For more information, see how Google uses information from sites that use its services (opens in a new tab).

The site’s typefaces are delivered by Adobe Fonts. When a page loads, your browser requests the fonts from Adobe’s servers, so Adobe receives technical information such as your IP address, browser details and the address of the page, which it uses to deliver the fonts and to count page views for font licensing.

5. When we disclose information

We may disclose personal information to BackChat personnel and relevant divisions where needed to handle an enquiry. We may also use service providers that support hosting, security, website maintenance, analytics, font delivery, email delivery, professional advice and business administration. Those providers may process information only to provide their services to us, subject to their terms and applicable law.

We may disclose information where required or authorised by law, to protect rights, safety or security, or in connection with a proposed or completed business restructure or transfer. We do not sell personal information.

6. Overseas handling

Some technology and service providers, including Google for GA4, Adobe for fonts, Defiant for Wordfence security and our email delivery provider, may process or store information outside Australia. Google states that it uses regional collection centres and maintains servers around the world, so GA4 data may be processed in countries other than Australia, potentially including the United States and other countries where Google or its subprocessors operate. Provider locations and subprocessors can change. Where applicable, we take reasonable steps to use reputable providers and protect information handled overseas. You can contact us if you would like more information about the providers relevant to your enquiry or website visit.

7. Security and retention

We use reasonable administrative and technical safeguards designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet transmission or storage system is completely secure.

The website database copy of a contact-form enquiry is ordinarily retained for up to 24 months from submission and is then deleted. Information from an enquiry may be retained separately for longer where reasonably required by law, for an active business relationship, or to establish, exercise or defend a legal claim. Related email, business-record, temporary server-log and provider-backup copies follow their own reviewed retention cycles and may not be removed at the same time as the website database copy.

8. Access, correction and deletion

You may ask us to provide access to personal information we hold about you, correct it, or delete it where applicable. Email hello@backchatstudios.com.au and include enough detail for us to identify the relevant information. We may need to verify your identity. We will respond within a reasonable period and explain if a request cannot be completed.

9. Privacy questions and complaints

If you have a privacy question or complaint, email hello@backchatstudios.com.au. Please describe the issue and your preferred contact details. We will review the matter and respond within a reasonable period. If you are not satisfied and the Privacy Act 1988 (Cth) applies, you may contact the Office of the Australian Information Commissioner at oaic.gov.au (opens in a new tab).

10. Third-party links

This website links to BackChat division websites and other third-party services. Their privacy practices are controlled by their own policies, and we are not responsible for how an external site handles information.

11. Changes to this policy

We may update this Privacy Policy when our practices, providers or legal obligations change. The current version and its last-updated date will be published on this page.
